Hours: Monday - Friday 8:00 AM - 5:00 PM, additional hours may be needed to meet production and customer expectations

Job Summary:

The Loan Servicing Manager is responsible for the overall operations of the loan booking, loan servicing and document imaging functions. This includes original booking and imaging of closed loans, post-closing monitoring and ongoing payment servicing of loans. The position is also responsible for following policies and procedures and ensuring each loan complies with industry regulations, bank policies and procedures. Works collaboratively with mortgage and commercial sales leadership to recognize the bank's sales goals, service delivery and customer service expectations.

Primary Duties and Responsibilities:

  • Supervises loan servicing, loan booking and document imaging functions and staff to meet the expectations of risk management, and to deliver on service expectations that sets us apart from competitors.
  • Works collaboratively with lending officers and coordinators to deliver on service expectations. Facilitates the booking and post-closing functions for all loans. Leads document imaging team to maximize efficiency of document scanning as part of the normal loan workflow. Responsible for document scanning for non-lending areas as supported by IT through the imaging staff that performs both loan and deposit document scanning.
  • Oversees all aspects of servicing for all loans (bank's on balance sheet portfolio and sold loans). This servicing includes posting of loan payments, the payment of real estate taxes, hazard, mortgage, and flood insurance for all escrow accounts, the monitoring system for insurance and taxes, the escrow analysis, the collection of information and sending of all reports.
  • Completes all secondary mortgage market custodial servicing and reporting functions
  • Administrates the Small Business Administration loan servicer setup and remittance on a loan by loan basis.
  • Processes loan payoffs, partial releases and satisfactions.
  • Responsible for the Home Mortgage Disclosure Act (HMDA) data collection, reporting, editing and transmission are timely and accurately.  
  • Responds to monthly loan reviews and supervises maintenance of the tracking required by the loan reviews. Prepares response to internal audits and makes corrections as necessary.
  • Ascertains appropriate staffing of personnel, assignment of duties, individual and team coaching to ensure all bank matters are handled in a timely, accurate and service excellence manner.
  • Serves as the main loan operational contact with regulators and auditors during routine exams and audits. Compiles necessary information to satisfy regulators' requests.
  • Reports to senior management, loan officers and staff any new changes in forms preparation procedures and documents relative to the loan documentation function.
  • Ability to assist with goal setting at an individual, departmental and bank levels. Evaluates department personnel performance against predetermined standards and makes appropriate personnel action recommendations. Handles employee performance issues and provides coaching as appropriate for the situation.

Desirable education, experience and skills:

  • A minimum of a high school education with successful mastery of the skills and responsibilities inherent in a loan operations supervisory position that covers both breadth and depth of all lending functions. Typically, this would be a minimum of 5-6 years of loan operations management experience.
  • Excellent communication skills as evidenced by the ability to interact both face-to-face and over the telephone with customers and co-workers. Demonstrated ability to use discretion, tact, and diplomacy when dealing with customers and co-workers.
  • A customer-focused and can-do attitude to deliver on service expectations.
  • Excellent personnel leadership skills with experience developing new staff in technical proficiency, increased production, and engagement with the organization.
  • Good strategic thinking and problem-solving skills.
  • Good math skills with the ability to create Excel documents with formulas.
  • Good knowledge of various specialized bank processing systems and applications.
  • Ability to work under short timeframes and deadlines for completion of work.
